How to Record and Track In-Kind Donations

In-Kind Donations in Argenta allow you to track non-cash gifts such as goods, services, or donated items. Properly record these contributions for donor recognition and tax documentation.

What Are In-Kind Donations?

In-Kind donations are non-monetary contributions including:

  • Physical goods (food, supplies, equipment)
  • Professional services (legal, accounting, design)
  • Donated use of property or facilities
  • Auction items
  • Inventory or products

Recording an In-Kind Donation

  1. Go to Fundraising > Donations
  2. Click Add New
  3. Select the donor
  4. Choose In-Kind as the payment type (or select In-Kind donation type)
  5. Enter a Description of what was donated
  6. Enter the Fair Market Value if known
  7. Attach any supporting documentation
  8. Save the donation

Valuing In-Kind Donations

For tax and reporting purposes:

  • Goods: Record at fair market value
  • Services: May not be tax-deductible but should be tracked
  • Used items: Value at current condition, not original price
  • When in doubt, let the donor provide the valuation

In-Kind Donation Fields

  • Item Description: What was donated
  • Quantity: How many items
  • Estimated Value: Fair market value
  • Condition: New, used, etc.
  • Date Received: When you received the donation

Acknowledging In-Kind Donations

Acknowledgment letters for in-kind donations should:

  • Describe the donated item (not the value)
  • State that no goods or services were provided in exchange
  • Not include a dollar value (donor determines that)
  • Be sent promptly like any donation acknowledgment

Reporting In-Kind Donations

  • Run donation reports filtered to In-Kind type
  • Track total in-kind giving by donor
  • Include in annual giving summaries with clear labeling

  • Record in-kind donations promptly
  • Keep detailed descriptions for future reference
  • Attach photos for valuable items
  • Work with your accountant on valuation questions
  • Thank in-kind donors just like cash donors
