Add Member Groups

A Member Group is a set of members organized together for a purpose, such as a committee, class, or team. This article walks through creating a group and adding members to it.

Create a member group

  1. Go to Membership > Member Groups and click Add A New Member Group. Argenta asks for the Group Name and an Active Date first, both required, then you click Add & Enter Details. The group is created and the Member Group Workspace opens on the Member Group Details page, where the category, the group leader, the budget and the members themselves are added.
  2. Fill in the details and save.

Member Group Details fields

  • Record Level Permissions: the Set As View Only and Lock This Record switches.
  • Active Date (required): type a date or use the date picker. It starts empty.
  • Group Name (required).
  • Group Status (required): Active or Inactive.
  • Group Category (required): pick from the drop-down, or add a new one with the orange add icon (admins and master builders only).
  • Group Age Level: an optional age level.
  • Group Description.
  • Group Leader/Team Member: the team member responsible for the group.
  • Budget Amount and Budget Time Period/Term (Weekly, Bi-Weekly, Monthly, Quarterly, or Annually).
  • Chapter, Division, Department (plus District, Precinct for political teams).

Save with Save All Changes & Continue or Save All Changes & Exit. Creating a group, editing it and deleting it need the Member Manager permission or admin rights. A group that has mission projects associated with it cannot be deleted. Adding, editing and removing the people on the Members tab needs the same Member Manager permission; Master Builder is not required anywhere in member groups. A user set to view only cannot save. A group set to view only can be saved only by its creator, a master admin, or someone named in its Record Permissions, and a locked group does not open at all for anyone else.

Add members to the group

  1. Open the Members tab and click Add New.
  2. In the Add A Member window, start typing to find the member and select them.
  3. Choose their Group Role (it starts on Participant) and their Active Date (it starts on today).
  4. Click Add Member. Repeat for each member you want in the group.

Pick the member, then click Add Member. The window stays open for the next one.

The Members tab lists everyone in the group with their Active Date, status, and group role. Use the Show filter (Active, Inactive, All), Export To CSV to download the roster, the orange edit icon to change a member's group role or Active Date, and the pink remove icon to take a member out of the group.

There is no Active or Inactive switch on the Members tab. A membership turns inactive when the member is made inactive on their own member record, and active again when they are made active. The Add A Member window finds active members only, and they join the group as active.

Related Files

The Related Files tab keeps the group's documents with the group, such as meeting agendas, rosters and budget summaries.

  1. Drag files onto the box marked Drag & Drop Files Here, or click the box to pick them. You can choose more than one at a time.
  2. Click Save The Selected File(s).

Each file is listed with the date and time it was added and who added it. Click a file's name to open it in a new tab, the green download icon to save a copy, or the pink remove icon to delete it. Argenta asks you to confirm before it deletes. For more, see Add Related Files.

Notes

The Notes tab is where your team keeps the group's history: meeting recaps, room bookings, follow-ups. The newest note is at the top, and each one shows the date it was written and who wrote it.

  1. Click Add A New Note.
  2. Type the note.
  3. Click Add This Note.

The green edit icon opens a note so you can change it, and the pink remove icon deletes it. For more, see Add A Note to the Notes Section.

Record Permissions

The Record Permissions tab names the people who can get past this group's own Set As View Only and Lock This Record switches. It has two lists:

  • View Only Access: users listed here can still edit the group when it is set as view only.
  • Locked Record Access: users listed here can still open the group when it is locked.

The badge at the top of each list reads Enabled when that switch is on for the group and Disabled when it is off. To add someone, start typing their name under Add User, pick them, and click Add. The pink remove icon beside a name takes them off that list. Opening this tab needs the Member Manager permission or admin rights.
