Getting Started with Surveys

Surveys let you hear directly from the people who matter most to your mission: donors, volunteers, members, event guests, anyone. Build a branded survey in minutes, share one link, and watch the answers arrive in one place. There is nothing to install and no separate tool to learn.

Think of it as your own online form. Use it as a feedback form, a check-in form, a sign-up sheet, an application, or anytime you need people to fill out a form and send their answers back. They open a link, fill it in, and the responses come straight into Argenta.

Finding Surveys

In the left sidebar, open Surveys > Survey List. That page lists every survey you have built. Filter by status, category, or active state, sort them, search by ID or title, and start a new one.

Surveys are limited to Master Admins. If you do not see the menu, ask an admin at your organization.

Creating a new survey

Click New Survey. Every survey starts as a Draft, completely hidden until you say otherwise, so nobody can find it or take it while you are still working. You land in the Survey Workspace.

The Survey Workspace

Six sections across the top:

  • Details. The settings and the theme.
  • Description. An optional overview of what the survey is about.
  • Welcome. A friendly message shown before someone begins.
  • Thank You. The message shown after they submit.
  • Questions. Where you build the survey.
  • Results. Where you read the answers.

Setting up the Details

  • Survey Title. The only required field. You cannot publish without one.
  • Status. Draft, Active, Closed, or Archived. It stays on Draft while you build and flips to Active when you publish.
  • Category. Your own labels, for keeping a long list organized.
  • Open / Close Schedule. The dates your survey opens and closes. Leave it blank and the survey stays open the whole time it is published.
  • Anonymous responses. Responses arrive without a name attached, which is exactly what you want for candid feedback.
  • Allow multiple responses per person. Leave this off and someone who has already submitted sees a "you have already responded" message when they return in the same browser. Turn it on to let people answer as often as they like.

Under Form Theme, set your Headline Color, Button Color, Button Hover Color, and Button Text Color so the survey matches your brand.

Adding questions

Open Questions and click Add Question. There are nine types:

  • Short Text for a quick word or two
  • Long Text for open comments and stories
  • Single Choice to pick one option
  • Multiple Choice to pick several
  • Dropdown for a tidy list of options
  • Rating Scale to measure satisfaction or agreement
  • Yes/No for a simple either-or
  • Date to collect a specific day
  • Number for amounts and counts

For each question you write the Question Text, add optional Help Text as a hint underneath, mark it Required when an answer is a must, and toggle it Active to show or hide it without deleting it.

Some types add their own settings. Short and long text questions get Length Limits, number questions get a Value Range, and a rating scale asks for a lowest and highest value plus optional end labels (for example Poor and Excellent). The three choice types get an Answer Options list where you add the choices one at a time.

Back on the Questions tab you can reorder questions with the up and down arrows, so you can write them in any order and tidy the flow afterwards.

Welcome, Thank You, and Description

These three use a full editor, so you can format text, add links, buttons, and images. If you would like help with the wording, click Improve Body with AI and pick a tone: Friendly, Formal, or Brief.

Publishing and sharing

When your questions are ready, go back to Details and click Publish Survey. Two things have to be true first: the survey needs a title, and it needs at least one active question.

Once it is live, a Share link appears at the top of the Details tab with a Copy Link button. Send it by email, put it on your website, or share it anywhere your community will see it. Nobody needs an Argenta login to answer.

To take it back offline, click Switch to Draft. The survey is hidden again and stops accepting responses until you publish it once more.

Reading your results

The Results tab opens with four numbers: Completed, In Progress, Questions, and the survey's current status with its schedule.

Below that, every question gets its own card. Choice questions show a bar chart plus a table of each option's count and percentage. Rating and number questions show the average. Text, yes/no, and date questions list every answer with the date it came in.

At the bottom, the Responses card lists each submission. Click View on any one to read that person's full set of answers. You can also pull everything out with Export CSV or Export Excel.

A few friendly tips

  • Build in Draft. Nobody can reach the survey until you publish, so take your time.
  • Keep it short. A handful of well-chosen questions gets a far better response rate than a long form.
  • Take it yourself first. Open the share link and answer your own survey once. Awkward wording is much easier to spot from the respondent's side.
  • Use the schedule. Set the open and close dates and the survey manages its own start and finish.
