How to Use the Activity Log to Track Record Changes
When somebody asks "who changed this?", the Activity Logs are where you look. Argenta keeps a running record of what was added, what was deleted, what fields were edited and what they said before, and who signed in and when.
Getting there
- Click Settings (the gear at the top right of any page).
- Click Activity Logs.
You land on the Sign In Log. Across the top of the page is a workspace menu holding all six logs. Click any name to switch:
- Sign In Log
- Activity Log
- Modification Log
- Public Forms Log
- Master Contact Log
- Master Email Log
The Settings menu is for master administrators and subscription managers. If you do not see the gear, ask an administrator on your team to pull the log for you.
The Activity Log: what happened
The Activity Log answers "what was done to this record". Each entry reads like a sentence, for example "Added A New Constituent", "Deleted A Record", or "Exported Constituents To CSV", and every one carries:
- Date & Time
- User, the person who did it
- Section Modified, the part of Argenta they were in
- Page Modified
- Record ID
- Activity, the plain-English description of what they did
Newest entries come first. Use Sort by: to order by Date & Time or User Name instead.
Narrowing it down
Open the Filter Activity Log panel and you get two fields:
- User. Start typing a name to see everything one person did.
- Date Range. A from and to date to bracket the period you care about. The log opens on the last 30 days, so set the From date further back to see older entries.
Click Apply Filter to run it. For anything else, use the search box at the top right. Type a number and it matches the Record ID; type words and it matches the user, page, section, or activity. So to trace one specific record, type its ID.

The Modification Log: what the value used to be
This is the one people usually want and go looking for in the wrong place. The Activity Log tells you a record was edited. The Modification Log tells you which field changed and what it said before, line by line:
- Field Name
- Value Before and Value After
- Record Type and Record ID
- Page Modified, User, Date & Time, and a description of the modification
Its filter panel adds a Record Type dropdown alongside User and Date Range, so you can pull just the constituent edits or just the donation edits. Search here matches an ID, a page, a record type, or a field name.
If somebody overwrote a phone number or a gift amount and you need the old value back, this is the screen that has it.
The Sign In Log: who got in, and who did not
Every sign-in attempt is recorded, successful or not. A green check or a red x on each row tells you which. Filter by User, Status, and Date Range, or search by user, username, or IP address. Failed attempts clustered on one account are worth a second look.
The other three logs
- Public Forms Log. Submissions that came in through your public-facing forms.
- Master Contact Log. Every contact log entry across your whole organization in one place, rather than one constituent at a time.
- Master Email Log. Every email Argenta sent on your behalf.
Getting the log out of Argenta
Each log has an Export to CSV button that downloads whatever your current filter and search produced, ready for Excel. The Modification Log export carries the full before and after values, which makes it the one to send when somebody needs to reconstruct a history. Export is permission based, so ask an administrator if the button is not there.
What the logs are good for
- Troubleshooting. Data looks wrong, so find the moment it changed and what it was before.
- Accountability. Settle "I did not touch that" with a timestamp instead of a memory.
- Compliance. Produce a real audit trail when an auditor or a board asks for one.
- Training. See how a new team member is actually using the system in their first week.
- Security. Spot failed sign-ins and unfamiliar IP addresses early.
Worth knowing
- Reading a record does not create a log entry. Only changes do.
- Filtering the log first makes the export far more useful than downloading everything.
- On the Modification Log, users who are not view-only can remove an individual entry with the circle x on its row. Treat that as permanent.
