How to Track Event Attendance

Record who actually attended your event versus who registered.

Why Track Attendance

  • Know your actual turnout vs registrations
  • Calculate no-show rates for future planning
  • Follow up appropriately with attendees vs no-shows
  • Provide accurate counts for grants or sponsors

Recording Attendance

There are several ways to track attendance:

Manual Check-In
  1. Open the event
  2. Go to the registrant or attendee list
  3. Mark each person as attended/checked in
  4. Record check-in time
At-Event Check-In

For real-time check-in at the event:

  • Use tablets or computers at registration desk
  • Search for registrants by name
  • Mark as checked in
  • Handle walk-ins by adding new registrations

Walk-In Attendees

For people who did not pre-register:

  1. Add a new registration at the event
  2. Mark as walk-in
  3. Collect payment if required
  4. Mark as attended

No-Show Follow-Up

After the event, identify no-shows to:

  • Send sorry-we-missed-you messages
  • Offer refunds or credits if applicable
  • Invite them to future events

Attendance Reports

Generate reports showing:

  • Total registrations vs actual attendance
  • Attendance by ticket type
  • Check-in times
  • Walk-in statistics
