CRM

Donor, volunteer and member.
One record.

When the same person gives, volunteers and renews a membership, Argenta keeps one record for them and attaches each role to it. Every email they get from you through Argenta is logged on that record with the full message. Smart Lists check who belongs every time you send, and the Lapsed Donors report shows who gave last year but hasn't given yet this year.

The constituent record

How a record fills in

Some of a person's history reaches their record the moment they act, and your staff add the rest. Here is what each step writes.

1

They give

An online gift is matched to the giver by name and email or phone, and a new giver gets a new record. The gift is booked, an engagement is logged and a receipt is emailed to them.

2

They register

An event registration puts them on the guest list and logs an engagement. A paid ticket also books its deductible part as a donation and emails a receipt.

3

You email them

Every email Argenta delivers to them writes an engagement and a contact log entry that holds the full message, campaign emails included.

4

You talk

A call or a meeting goes in their contact log, marked as an engagement if you want it to count. A follow-up names who owns it and emails them a reminder at the time you choose.

5

Lists catch up

A Smart List checks its rule again every time you send, so someone who made their first gift yesterday is on your first-time donor list the next time you mail it.

6

The score moves

Turn on the Constituent Score and every record gets a score from 0 to 100, recalculated every night, with Ready To Ask and Going Quiet views on your constituent list.

One person, every role. A donor who starts volunteering doesn't become a second record. You add the volunteer role to the person you already have, and the public forms they fill in check for them before adding anyone new.

One record for every person

Individuals, households and organizations, each carrying every role they play for you.

  • Individuals, households and organizations
  • Donor, volunteer, member, board member, lead and grantor roles on one person
  • Change a record's type without losing anything on it
  • Salutation, formal salutation and envelope salutation
  • Create a household from any person and add the rest of the family
  • People linked to their organizations, with a job title and a primary contact
  • Skills, volunteer interests, clubs and recognitions

Everything you've said to them

Calls, meetings and emails, kept in the contact log on the person.

  • A contact log for calls, meetings and visits
  • Every delivered email logged with its full message
  • An email log showing each message and whether it was delivered
  • Engagement history on every record, and one engagement list for the whole team
  • My Contact Log, with every entry you've made
  • Notes and files on the record, up to 10 MB a file

Follow-ups with an owner

Every follow-up has a person responsible, a reason and a date.

  • A reason, a date and the team member who owns it
  • Added to the owner's Argenta calendar when they have a login
  • An email reminder at the time you choose
  • A copy of the reminder to a second email address
  • My Follow-Up, with every follow-up you own across every record
  • An outcome field for what happened

Lists that keep up with people

Write the rule once. Argenta checks it again every time you send.

  • Build a list from who people are and what they've done
  • Rules on giving, events, volunteering, membership, and email opens and clicks
  • Ready-made segments like Lapsed Donors, Monthly Donors and Event No-Shows
  • A live count as you build, and how many a send would reach
  • Start an email automation when someone joins a list
  • Text and postal lists too, with mailing labels sorted by ZIP code

Who's giving, and who's slipping

The donor reports a development director asks for, run whenever you need them.

  • Lapsed Donors (LYBUNT), with the revenue at risk
  • Donor Retention, with retained, new, recovered and lapsed donors
  • RFM segmentation into groups like Champions, At Risk and Lost
  • Donor Acquisition by lead source
  • A mailing list built from the Lapsed Donors or RFM results
  • Donor statements for any date range, saved as a PDF or emailed
  • Lifetime giving, the most recent gift and the largest gift on every donor

A score for every person

Turn it on and every record gets a number from 0 to 100.

  • Banded Hot, Warm, Cool and Dormant
  • Built from breadth, depth, engagement and momentum
  • You set the weights and where each band starts
  • What Drove This Score, on every record
  • Ready To Ask: Warm or better, and never given
  • Going Quiet after the number of days you choose
  • Recalculated every night, or right away with Recalculate Now

Duplicates caught and merged

Public forms look for the person first, and Merge Duplicates cleans up the rest.

  • Public forms check for an existing person before adding a new one
  • Find duplicates, compare them field by field, then merge
  • Auto-detect records with the same name, email or cell phone
  • Gifts, roles, notes, files and contact history move to the record you keep
  • Import from a CSV, TXT or Excel file up to 25 MB
  • Columns matched to Argenta's fields when you upload, with a template to start from
  • People already in Argenta are skipped, so importing twice doesn't double them

Preferences and permissions

Their choices are checked when you send, and your staff see only what they should.

  • Do Not Email, Do Not Call, Do Not Text, Do Not Solicit and Do Not Send Mail
  • Marketing email skips anyone who has opted out
  • An unsubscribe stops marketing email, and receipts still arrive
  • Every email consent change recorded with where it came from
  • View Only and Locked records, with the people you name as exceptions
  • Staff limited to their chapter, division or department
  • A modification log with every field's value before and after
  • Exports only for staff with export permission, and every export logged

CRM questions, answered

Can one person be a donor, a volunteer and a member?

Yes. Each person has one record, and every role they hold is attached to it. Making someone a donor, a volunteer or a member starts from the record you already have, so their gifts, their hours and their membership all belong to the same person.

Does Argenta log the emails we send to someone's record?

Yes. Every email Argenta delivers to a constituent writes an engagement and a contact log entry holding the full message, and that includes your email campaigns.

The Email Log on the record shows each message and whether it was delivered.

How does a Smart List stay current?

A Smart List is a rule, not a fixed set of names. Argenta checks the rule every time the list is read or sent to, so people move on and off it as they give, lapse, register or renew.

Can we see which donors have lapsed?

Yes. The Lapsed Donors (LYBUNT) report shows who gave in an earlier period but not in the current one, along with the revenue at risk, and you can build a mailing list from the results.

Donor Retention and RFM Segmentation are included too.

How does Argenta handle duplicate records?

Public forms check for an existing person before they add anyone new.

For duplicates you already have, Merge Duplicates finds them, lets you choose field by field what to keep, and moves gifts, roles, notes and history onto the record you keep.

Can we import our existing contacts?

Yes. The import takes a CSV, TXT or Excel file up to 25 MB and matches your columns to Argenta's fields when you upload it.

Anyone already in Argenta is matched by import ID, email, or name and ZIP code and skipped unless you choose to add them anyway, so a second import doesn't double your list.

Who can see a constituent's record?

Your team, within the limits you set. A record can be View Only or Locked, with the people you name as exceptions, and staff can be limited to their own chapter, division or department.

Every change shows in the modification log with the value before and after.
