How to Add Sponsorships to Your Auction

Sponsorships are gifts from businesses or people who support your auction. Argenta records both cash sponsorships and in-kind sponsorships (donated goods or services).

Opening a sponsorship record needs the Auction Manager permission. An administrator already has it. Without either, Argenta sends you to an access denied page, including when you follow a direct link.

Where to find sponsorships

1. Open your auction.
2. Click Sponsorships in the workspace navigation.

The Sponsorships tab has a short Show Me How To Use This Page video at the top right; click it to watch, and use its chapters to jump to the part you need.

Add a sponsorship

1. Click Add A New Sponsorship. Argenta asks who the Constituent Sponsor is, and that is all it needs to start. Click Add & Enter Details.
2. On the sponsorship's own page, fill in the sponsor's details.
3. Choose the sponsorship type, category, and level.
4. Enter the amount. The field is required, and it is named Sponsorship Amount ($) for a cash gift.
5. For a donated item or service, tick In-kind (non-cash) sponsorship, or choose the In-Kind Sponsorship type, which ticks it for you and keeps it ticked. The amount field then renames itself to Estimated Value ($), and the description box becomes Description (what was donated), so put what the gift is worth and what it is in those.
6. Set the status so you can track where it stands.
7. Save the sponsorship.

Add A New Sponsorship sits above the list.

Pick the sponsor, set the status, and enter the amount.

Type, category and level are how you group your sponsors.

Save the sponsorship when you are done.

Cash and in-kind

• Cash sponsorships add to your auction income totals, unless their status is still In Discussions or Pending. Those are listed with a gray badge and shown beside the totals until their status moves on.
• In-kind sponsorships are tracked for your records but are not counted as cash, since no money changes hands.

Flip the in-kind switch and the gift is tracked without counting as cash.

Seeing the totals

Sponsorships roll up into the Budget & Financials summary, so you can see how much support your auction has brought in.

Sponsorships show as their own line in the Financial Summary.

Under that line, Sponsorships Received (payments recorded) shows what sponsors have actually paid so far, from the Payments page on each sponsorship. The Sponsorships line and the totals still count each cash sponsorship at its committed amount, except one still In Discussions or Pending, which has its own gray line and is not counted.
