How to Copy (Duplicate) a Document in the Document Library

To create a copy of an existing document:

  1. Navigate to Workflow & Productivity > Document Library
  2. Find the document you want to copy
  3. Click the orange Copy & Add New icon on its row (or open the document and click the Copy & Add New icon beside its title)
  4. A new document is created with the same details and file
  5. The copy appears in the document list (copying from the document itself takes you back to the list); open it to change its title or details

You cannot copy a locked document you are not allowed to open; Argenta tells you so instead.

What gets copied:

  • Document title. The copy is named A Copy of the original, unless the title is longer than 140 characters, in which case it keeps the original wording exactly and you will want to retitle it yourself.
  • Description
  • The attached file
  • Category assignment
  • Chapter, division and department (and district and precinct on a political team)
  • Set As View Only and Lock This Record, as they were on the original

What doesn't get copied:

  • All Staff Can View, which starts off
  • Any Record Permissions given on the original
  • Who posted it and when: the copy is posted by you, today

Use cases:

  • Creating a new version while keeping the original
  • Using an existing document as a template
  • Sharing a modified version with a different department
