What information is collected when someone books an appointment?

When someone books an appointment through your public Calendar Hub link, the following information is collected:

Required fields:

  • Your Name - The person booking the appointment
  • Your Organization Name - Their company or organization, up to 50 characters. It is not asked when the booking comes from a Reservation Request Form; their own name is used instead.
  • Email Address - For sending the confirmation, and for reaching them if the appointment is later moved or canceled

The Confirm your time box on a public booking page with Your Name, Your Organization Name and Email Address marked required, Phone (optional), Notes (optional), Schedule and Choose a different time

Optional fields:

  • Phone - For contact purposes
  • Notes - Any additional information or context for the meeting
  • Text reminders - Offered only when your account can send texts; if they switch it on, their phone number is kept with the consent wording they agreed to
  • Your event type's questions - Any questions you added to the event type, which you can make required; the answers are saved on the appointment and added as a note on the constituent record

What happens with this data:

  • A constituent record is created in your Argenta database with their name, email address and phone. If they already have a record with a matching name and email address or phone, that record is used instead, and nothing on it is changed
  • The information is included in appointment notification emails
  • You can view and access contact details from the appointment or constituent record
