How to Attach Documents and PDFs to Emails

Short answer: Argenta email does not send file attachments. You share a document by putting a link to it in the message, and the editor has a built-in Document Manager that does this for you in a couple of clicks. Recipients click the link and the file opens.

This is a deliberate choice, and it is what most email tools do for bulk sends. Attachments push up message size, they get stripped or quarantined by a lot of mail filters, and they are one of the fastest ways to land a whole send in spam. A link avoids all of that, and it lets you swap the file later without resending.

Link A Document From The Editor

  1. Compose your email, in the Mail Room or in an email template.
  2. Put your cursor where you want the link to sit.
  3. In the editor toolbar, click Document Manager (the document icon, next to Insert Image).
  4. Pick the document you want.
  5. Argenta drops a link to it into your message, using the document's name as the link text.

If the file is not in Argenta yet, upload it in the Document Manager first, then select it.

Link To Something Stored Elsewhere

For a file that lives outside Argenta, on your website or in cloud storage, link to it by hand:

  1. Type and select the words you want to be clickable, for example "Download our annual report".
  2. Click Insert Link in the toolbar.
  3. Paste the URL.

Make sure the file is shared publicly. A cloud link that only your staff can open will ask your recipients to sign in, which reads as broken.

Images Are Different

Images do go inside the message body. Click Insert Image in the toolbar, then upload or pick your image, and it displays inline when the email is opened.

PDFs, Word files, and spreadsheets cannot display inside an email. Those get a link.

Video

No email client plays video in the message, so nobody can embed one. The approach that works:

  1. Upload the video to YouTube, Vimeo, or wherever you host it.
  2. Grab a still frame from it and insert that as an image.
  3. Select the image and use Insert Link to point it at the video.

A play-button overlay on the still makes it obvious the image is clickable.

Tips

  • Say what the link is before people click it, for example "the 2026 annual report, PDF, 2 pages". Naked links get ignored.
  • Use Insert Button in the toolbar when the document is the whole point of the email. A button gets clicked more than a text link.
  • Send yourself a test first and click every link in it. A broken document link is the most common thing to catch at that stage.
  • Keep the file where it is once the email is out. Moving or deleting it breaks the link for everyone who has not opened the message yet.
