How to Track Grant Match Requirements
Plenty of grants come with a condition: the funder gives you their money only if you can show you have raised some of your own. Argenta records that requirement on the grant so it does not get lost between the award letter and the final report.
Record The Requirement
- Open the grant under Grant Management > Grants Receivable.
- On the Grant Details page, scroll to the conditions area.
- Turn on Match Required.
- Enter the Match Amount, the dollar figure you have to raise.
- Click Save All Changes & Continue.
If your funder states the match as a ratio rather than a figure, work out the dollar amount and record that. A 1:1 match on a $50,000 grant is a $50,000 Match Amount. The number is what you will be reporting on.
What Usually Counts
Funders differ, so read your award letter, but a match is commonly met with:
- Cash: money your organization raises or commits.
- In-kind: the fair value of donated goods, services, or professional time.
- Program expenses: your own spending on the funded work, where the funder allows it.
Some funders exclude other grant money from counting toward a match, which catches people out. Check before you count it.
Tracking What You Have Raised
The grant record holds the requirement. To show your progress against it, use the tools on the grant itself:
- Connections: link the donations, funds, or projects that are covering the match, so the evidence sits with the grant.
- Notes: record in-kind contributions and how you valued them. Write down your reasoning at the time, because you will be asked to justify it later.
- Files: attach the match documentation, pledge letters, and valuations.
When You Report
Pull the Match Amount from the grant record, then use the connected donations and your notes to show how you met it. Keeping all of that on the grant record is what makes reporting a half-hour job instead of a week of archaeology.
