How to Set Up Client Billing for a Project
Argenta can bill a client for project work and turn those hours into an invoice without you rekeying anything.
Set the project up for billing
There is no billable checkbox. A project becomes billable by filling in three fields on Project Details:
- Associated Client/Customer, the constituent you are billing.
- Client's Hourly Rate, what you charge per hour.
- Billable Hours, the hours you are charging for. Underneath this box Argenta shows the total hours logged on the project's tasks, so you can see what was worked before deciding what to bill.
Click Save & Continue.
Check the numbers
Open Client/Customer Billing in the workspace navigation. Three figures sit across the top:
- Billable Hours
- Hourly Rate
- Total Cost, the hours multiplied by the rate
Generate the invoice
Click Generate An Invoice. The button appears only once Billable Hours is above zero and the project has no invoice yet, so if you cannot see it, check that the hours and the client are filled in on Project Details.
Once the invoice exists, the same page gives you Open Invoice to work on it in the invoice workspace, Print Invoice for a copy to send, and Delete Invoice if you generated it too early. The invoice behaves like any other invoice from there, including recording the client's payment against it.
Estimated against actual
Two fields on Project Details tell you whether the job ran to plan:
- Projected Work Hours, what you estimated at the start.
- Actual Work Hours, totalled from the hours on the project's tasks.
Comparing the two before you bill is the moment to catch a job that took twice as long as quoted.
