Overview

The Constituent Engagement Score Report measures how engaged each constituent is with your organization across six dimensions, combining all engagement activities into a single score from 0 to 100. Instead of viewing donors, volunteers, members, and event attendees separately, this report provides a holistic view of supporter engagement.

Required permissions: Marketing Manager, Donation Manager, or Admin role. Exporter role required for exports.

The Six Engagement Dimensions

Each dimension is scored 0-100 and weighted to calculate the overall score:

  • Volunteering (20%): Hours logged, tasks completed, active volunteer status
  • Events (20%): Event attendance, attendance rate, committee participation
  • Email (15%): Email open rate, click rate, deliverability
  • Membership (15%): Active member status, tenure, facility visits
  • Giving (25%): Donation frequency, recency, and total amount
  • Leadership (5%): Board positions and committee roles

Engagement Levels

  • Highly Engaged (70-100): Your champions, active across multiple areas. Prioritize stewardship.
  • Moderately Engaged (40-69): Solid supporters with growth potential. Good cultivation candidates.
  • Lightly Engaged (15-39): Casual connection, need nurturing.
  • Minimally Engaged (1-14): Peripheral involvement, at risk of disengaging.
  • Not Engaged (0): No recorded engagement in the selected time period.

How Each Score Is Calculated

Volunteering Score (0-100):

  • Hours logged: 100+ hrs = 40 pts, 50+ = 30 pts, 20+ = 20 pts, 5+ = 10 pts
  • Task completion rate: (Completed Tasks / Total Tasks) x 30 points
  • Active volunteer status: 30 points if currently active

Events Score (0-100):

  • Events attended: 10+ = 40 pts, 5+ = 30 pts, 3+ = 20 pts, 1+ = 10 pts
  • Attendance rate: (Events Attended / Events Invited) x 30 points
  • Committee participation: 3+ committees = 30 pts, 1+ = 15 pts

Email Score (0-100):

  • Open rate: (Emails Opened / Emails Sent) x 50 points
  • Click rate: (Emails Clicked / Emails Sent) x 50 points
  • Bounce penalty: -20 points if bounce rate exceeds 20%

Membership Score (0-100):

  • Active member: 40 points if currently active
  • Tenure: 10+ years = 30 pts, 5+ = 20 pts, 2+ = 10 pts
  • Visit frequency: 12+ visits = 30 pts, 6+ = 20 pts, 3+ = 10 pts

Giving Score (0-100):

  • Frequency: 12+ gifts = 30 pts, 6+ = 20 pts, 3+ = 15 pts, 1+ = 10 pts
  • Recency: Within 30 days = 30 pts, 90 days = 25 pts, 180 days = 15 pts, 365 days = 10 pts
  • Total amount: $10K+ = 40 pts, $5K+ = 30 pts, $1K+ = 20 pts, $100+ = 10 pts

Leadership Score (0-100):

  • 2+ active board positions: 100 points
  • 1 board position: 75 points
  • 3+ committee roles (no board): 50 points
  • 1+ committee role (no board): 25 points

Using the Report Filters

Time Period: Controls how far back the report analyzes activity.

  • Last 6 Months: Recent engagement trends
  • Last 12 Months: Standard annual view (default)
  • Last 24 Months: Year-over-year comparison
  • Last 3 Years / 5 Years: Historical patterns

Engagement Level: Filter to specific tiers (Highly, Moderately, Lightly, Minimally Engaged).

Min/Max Score: Set a custom score range for precise filtering.

Activity Type Switches: Filter to constituents with specific engagement types.

  • Volunteering: People with volunteer hours or active volunteer status
  • Events: People who attended at least one event
  • Email: People who opened or clicked at least one email
  • Membership: Active members or people with member visits
  • Giving: People who made at least one donation
  • Leadership: People with board positions or committee roles

Important: Multiple switches ON = AND logic. Constituents must have ALL selected activity types.

Reading the Results

  • Engagement column: Overall score and level badge
  • Dimension Scores: Mini badges show V (Volunteer), E (Event), M (Email), B (Membership), G (Giving), L (Leadership). Faded badges indicate no activity in that dimension.
  • Activity Flags: Icons show which areas have activity (colored = active, gray = inactive)
  • Click any constituent name to open their full profile

Common Use Cases

Find your champions: Set Engagement Level to Highly Engaged (70+)

Find volunteers who could become donors: Turn ON Volunteering, leave Giving OFF, look for high Volunteer Scores with Giving Score of 0

Find lapsed supporters: Set Time Period to Last 24 Months, Engagement Level to Minimally Engaged

Find multi-dimensional supporters: Turn ON Volunteering + Events + Giving to find people engaged in all three areas

Find board prospects: Turn ON Giving + Events with high scores, or turn ON Leadership to see current leaders

Exporting Data

  • Export to Excel: Full data with 31 columns including all scores and raw metrics
  • Export to PDF: Printable landscape view of current results
  • Add List to Mail Room: Create a mailing list from filtered results

Troubleshooting Low Scores

If a score seems lower than expected:

  • Check the time period: Activity outside the selected range does not count
  • Verify data entry: Volunteer hours, event attendance, and visits must be logged
  • Email tracking: Only emails sent through Argenta are tracked
  • Inactive status: Inactive volunteers/members lose status points
  • Dimension weights: Giving is weighted highest at 25%, so non-donors score lower overall
