Do Not Contact and White List settings in Argenta help you manage communication preferences at the constituent level. Respect unsubscribe requests while protecting essential communications.
Do Not Contact Settings
Constituents can have communication preferences set that prevent certain types of contact:
- Do Not Email: Exclude from mass emails
- Do Not Mail: Exclude from printed mailings
- Do Not Call: Flag to avoid phone contact
- Do Not Solicit: Exclude from fundraising appeals
Setting Do Not Contact Flags
- Open the constituent record
- Go to the Contact Info or Preferences tab
- Find the Do Not Contact checkboxes
- Check the appropriate options
- Add a note about why (unsubscribe request, deceased, etc.)
- Save the record
How Do Not Contact Affects Communications
- Mass emails automatically exclude "Do Not Email" constituents
- Mail merge excludes "Do Not Mail" constituents
- Fundraising appeals exclude "Do Not Solicit" constituents
- Individual one-off communications still possible if needed
What Is White Listed?
White Listed constituents are flagged to ALWAYS receive communications, overriding other exclusion rules. Use this for:
- VIP contacts who should always be included
- Board members who need all organizational communications
- Internal staff who should receive everything
Setting White Listed Status
- Open the constituent record
- Find the White Listed checkbox
- Check to enable white list status
- Save the record
Viewing the Do Not Email List
- Go to Reports or Communication
- Look for the Do Not Email List report
- View all constituents with email exclusions
- Export for review or cleanup
Managing Unsubscribe Requests
When someone unsubscribes:
- The Do Not Email flag is automatically set if using email tracking
- Review the unsubscribe reason if captured
- Consider reaching out personally for major donors
- Respect the request - don't add them back without consent
Best Practices
- Always honor Do Not Contact requests promptly
- Document the reason for the exclusion
- Periodically review the exclusion lists
- Use White List sparingly and intentionally
- Train staff on respecting communication preferences
