Background Check tracking in Argenta helps you manage and monitor background checks for volunteers, staff, and others. Keep records of check status, expiration dates, and compliance requirements.

What Background Check Tracking Offers

Argenta allows you to:

  • Record when background checks are requested and completed
  • Track results and expiration dates
  • Monitor compliance across your organization
  • Generate reports on background check status
  • Set up notifications for expiring checks

Accessing Background Checks

From a person's record:

  1. Open the Volunteer, Staff Member, or relevant record
  2. Look for the Background Checks tab
  3. View all checks associated with that person

Adding a Background Check Record

  1. Navigate to the Background Checks tab on the person's record
  2. Click Add New
  3. Select the Check Type (Criminal, Reference, Credit, etc.)
  4. Enter the Request Date
  5. Add the vendor/provider if applicable
  6. Set the Status (Pending, Completed, Cleared, etc.)
  7. Enter the Completion Date when known
  8. Set an Expiration Date if the check expires
  9. Add any notes or results
  10. Save the record

Background Check Statuses

  • Requested: Check has been initiated
  • Pending: Waiting for results
  • Completed - Cleared: Passed the check
  • Completed - Issues Found: Results need review
  • Expired: Check needs to be renewed

Finding People Needing Background Checks

  1. Go to Staff Management or Volunteerism
  2. Click on Background Checks
  3. Use filters to find:
    • People without any background check
    • Pending checks
    • Expiring or expired checks

Reports and Compliance

Run reports to:

  • Show all active volunteers/staff with check status
  • Find people with expiring checks in the next 30/60/90 days
  • Document compliance for audits
  • Export for organizational review

Important Considerations

  • Set expiration reminders well in advance
  • Follow your organization's policies on check frequency
  • Keep sensitive results secure (use record locking if needed)
  • Maintain consistent processes for all people in similar roles
