When a volunteer signs up for a task on your public sign-up form, Argenta automatically sends a notification email to your team's Volunteer Coordinator (and a couple of related contacts). Here is how the recipients are determined and where to change them.
Where the Setting Lives
The setting lives on your team's Email Settings page. It is NOT on the individual Volunteer Task Group, and there is no separate "My Organization" menu. To reach it:
- Go to Subscription in the top menu
- Click Email Settings
- In the Designated Email Addresses card, find Email Address for Volunteer Notifications
- Enter the email address that should receive volunteer task signup notifications
- Click Save
Who Actually Receives the Email
For every volunteer task signup, Argenta sends the notification to up to three recipients:
- The Email Address for Volunteer Notifications on your Email Settings page (the primary recipient).
- Your team's Primary Email Address on the same page (only sent if it differs from the Volunteer Notification Email).
- The contact constituent assigned to that specific Task Group, if one is set on the task group record.
If You Are Not Receiving Notifications
- Confirm the email address is spelled correctly on the Email Settings page.
- Check the recipient's spam or junk folder.
- Make sure your sending domain is verified for outbound email. Argenta uses Amazon SES, which requires DKIM and SPF records on the domain you send from. If the domain is not verified, every send fails silently on our side. Verification can be checked under Subscription > Email Settings > DNS Settings.
- If the problem persists, open a Help & Support task. We can pull the email delivery log on our end and see exactly what happened to each notification.
Related Notification Types
- Volunteer Task Signup (what this article covers): triggered when someone signs up for a task on the public sign-up sheet.
- Volunteer Task Cancellation: triggered when a volunteer cancels their signup. Uses the same recipient list.
- New Volunteer Signup: triggered when someone fills out your public Volunteer Interest Form. Recipient is configured the same way.
Custom Notifications (Optional)
If you need more advanced notification logic (different recipients per task, conditional rules, additional content), set up a workflow:
- Go to Workflow & Productivity > Workflows
- Create a workflow that triggers on volunteer task signup
- Configure the workflow to send a custom email notification
