Argenta allows you to attach documents, including PDFs, to emails sent through the system. Here is how to attach files to your email communications.
Attaching Documents in the Email Editor
- When composing an email (from Mail Room, Email Templates, or any email send screen), look for the email editor
- In the editor toolbar, click the Attachment icon (paperclip)
- Select the file from your computer to upload
- The file will be attached to the email
Using Documents from the Document Center
If your document is already in Argenta's Document Center:
- First, locate your document in the Document Center (found under Operations or the module where you stored it)
- Copy the document link or download it
- In your email, you can either attach the downloaded file or insert a link to the document
Inserting a Link Instead of Attaching
For large files, consider inserting a link rather than attaching:
- Upload your document to the Document Center or a file hosting service
- In your email, highlight the text you want to be clickable
- Click the Insert Link icon in the toolbar
- Paste the document URL
- Recipients can click to view or download the document
Important Notes About Attachments
- File Size: Keep attachments under 10MB for best deliverability
- File Types: Common formats like PDF, Word, Excel, and images are supported
- Email Deliverability: Large attachments may cause emails to be flagged as spam - use links for large files
- PDFs in Email Body: PDFs cannot be embedded to display directly in the email body - they must be attached or linked. Only images can display inline.
Embedding Images vs PDFs
Unlike PDFs, images can be embedded directly in the email body:
- In the email editor, click the Insert Image icon
- Upload or select your image
- The image will display inline in the email
PDFs always appear as attachments that recipients must click to open.
Adding Videos
To share videos in emails:
- Upload your video to YouTube, Vimeo, or another video hosting platform
- Take a screenshot or thumbnail image of the video
- Insert the image in your email
- Add a link on the image that points to the video URL
Videos cannot be embedded directly in emails due to email client limitations.
