To prevent Argenta from sending email to a constituent (donor, volunteer, member, or any other person in your database), you must enable the Do Not Email setting on their constituent record. This applies to all types of constituents regardless of their role in your organization.
How to Enable Do Not Email
- Open the person's Constituent Record (search for them in Constituents, or click through from their Donor, Volunteer, Member, or other role-specific record)
- Navigate to the Contact Info tab
- Find the Do Not Email toggle switch at the top of the page
- Switch it ON (the toggle will slide to the right)
- Click Save All Changes
Once enabled, Argenta will block all email communications to that person.
What Gets Blocked
When Do Not Email is enabled, the constituent will NOT receive:
- Individual emails sent from any record (donations, events, etc.)
- Bulk emails from the Mail Room or Email Batches
- Automated system emails (receipts, confirmations, reminders)
- Campaign emails
- Any email triggered by Argenta workflows
Where Do Not Email Appears
Once set, the Do Not Email status is visible in several places:
- Constituent Card: A red "Do Not Email" label displays prominently on every page that shows the constituent summary card
- Contact Info Tab: The toggle switch remains in the ON position
- Mail Room Lists: The constituent will be automatically excluded from email mailing lists
- Reports: Run the Do Not Email List report to see all constituents with this flag enabled
Related Communication Preferences
The Contact Info tab includes additional communication preference toggles:
- Do Not Email: Blocks all email from Argenta
- Do Not Call: Flags the constituent as not wanting phone calls
- Do Not Text: Blocks text/SMS messages from Argenta
- Do Not Solicit: Flags the constituent as not wanting fundraising solicitations
- White Listed: Marks the constituent as verified/approved for communications
Why This Matters
Respecting communication preferences is critical for:
- Legal Compliance: Honoring opt-out requests as required by CAN-SPAM, GDPR, and other regulations
- Donor Relations: Maintaining trust with constituents who prefer limited contact
- Data Hygiene: Reducing bounced emails and spam complaints
- Deliverability: Protecting your organization's email sender reputation
Important Notes
- The Do Not Email setting is stored on the Constituent record, not on role-specific records (Donor, Volunteer, Member, etc.). You must update the constituent record to change this setting.
- This setting blocks all email from Argenta only. It does not affect email sent from outside systems.
- If someone requests to be removed from emails, always honor that request immediately by enabling this flag.
- The Do Not Email List report (found under Reports) shows everyone in your database who has this flag enabled.
Finding the Report
To see all constituents who have opted out of email:
- Go to Reports
- Find and run the Do Not Email List report
- The report shows constituent name and email address for everyone with Do Not Email enabled
