Combine duplicate records to maintain clean data and accurate constituent histories.
When to Merge
Merge records when you discover the same person or organization has multiple records:
- Different spellings of the same name
- Person entered separately as donor, member, and volunteer
- Imported records that duplicate existing entries
Before Merging
Review both records to determine:
- Which record should be the primary (survivor)
- Which has more complete information
- Which has more activity history
Merging Constituents
- Navigate to Constituents
- Find the duplicate merge function
- Select the primary record (the one that will survive)
- Select the duplicate record (the one that will merge into the primary)
- Review the merge preview:
- See which data will be kept
- See what will be combined
- Confirm and execute the merge
What Happens During Merge
- Contact information is consolidated
- Donation history combines
- Event registrations move to primary
- Volunteer hours are combined
- Notes and files merge
- The duplicate record is removed
Important Warnings
- Merging cannot be undone - review carefully
- Ensure you select the correct primary record
- Some linked records may need manual review after merge
