Protect sensitive programs with record-level permissions that restrict who can view or edit them.
Accessing Record Permissions
- Open the program
- On the Program Details tab, find the Record Level Permissions section at the top
View Only Mode
Check Set As View Only to allow users to see the program but not edit it.
Users can still view the program unless they created the record, they are a master admin, or they have specific permission on the Record Permissions tab.
Lock This Record
Check Lock This Record to prevent users from viewing OR editing the program.
Locked records are hidden from users unless they created the record, they are a master admin, or they have specific permission on the Record Permissions tab.
Granting Specific Access
- Click Record Permissions in the workspace navigation
- Add specific users who should have access
- Specify their permission level
When to Use These Features
- View Only: When data should be visible but not changed (e.g., completed programs for reporting)
- Locked: When the program contains sensitive information (e.g., confidential client data)
Visual Indicator
Locked programs display a lock icon in the program list to indicate restricted access.
