Tasks are single items of work that need to be completed by a member of your team. The Team Tasks module helps your team stay organized and on track. Once a team member has been added in Argenta, a task can be created and assigned to them. Team members can be Staff Members, Argenta Users, Board Members, or Volunteers who are designated as team members.
To get started, choose Workflow & Productivity > Team Tasks from the Argenta main menu on the left side of the screen. This opens your list of active tasks. To create a new task, click the Add A New Task button.
A new task is created and the Task Workspace opens on the Task Details page. This is where you enter the details of your task. Here is each part of the page:
Top switches
Set As View Only – turn this on to allow others to view the record but not edit it.
Lock This Record – turn this on to prevent users from viewing or updating the record, unless they are a master admin or have been granted access on the Record Permissions section. Permissions also work by assigning a chapter, division, department, district and/or precinct, so users restricted by those will only see records in the areas you have granted them.
Task Details fields
Task Title – enter a title for your task. This field is required and can contain up to 140 characters.
Current Status – select the task’s status from the drop-down list. This field is required.
Task Category – select a category from the drop-down list.
Priority – select a priority from the drop-down list.
Assigned Team Member – start typing a team member’s name and select them to assign the task.
Associated Client/Customer – start typing a client or customer name and select the one associated with this task.
Requested by Constituent – if a constituent requested this task, start typing their name and select them.
Date Submitted – defaults to today’s date. You can change it by typing a date or using the date picker. This field is required.
Due Date – enter the date the task is due by typing a date or using the date picker. This field is required.
Date Completed – enter a completion date once the task is finished. Leave it blank for now.
Work Hours (#) – enter the number of hours you expect this task to take. This field is required.
Billable Hours (#) – enter the number of hours you are billing for this task. This field is required.
Hourly Rate ($) – enter the dollar amount for the hourly rate. This field is required.
Chapter, Division, and Department – if the task belongs to a specific chapter, division, or department, select it from the matching drop-down list.
District and Precinct – for political teams, you can also select a district and precinct. Choose the district first, then the precinct.
Saving your task
When you are ready to save, use the buttons at the bottom of the page. Click Save and Continue to save and keep working on the task, or Save and Exit to save and return to the task list. Exit Record leaves without saving. You can also click the save (disk) icon at the top of the Task Workspace at any time to save all changes.
The Workspace Menu
Across the top of the Task Workspace is the Workspace Menu, which gives you additional sections for the task. Along with Task Details, you can use sections such as Sub-Tasks, Task Checklists, Task Billing, Time Tracking, Meeting Minutes, Notifications, Contact Log, Task Files, Task Notes, and Record Permissions.
Task Checklists – create a checklist for the task. Click Add New to add a line, enter the checklist item, then save it. Add as many checklist items as you need.
Record Permissions – when a record is locked, only master admins and the users listed here can view or edit it. This section has two areas, View Only Access and Locked Record Access; in either one, start typing the user’s name in the Add User box, choose them, then click Add. Users under View Only Access can still edit a view-only record, and users under Locked Record Access can still open a locked record.
