This article explains who the ticket purchaser is, who additional guests are, and how to convert an additional guest into a constituent on your guest list.
An event guest is the person who purchases the ticket. If the ticket allows for more than one person, additional guests are created. The purchaser is saved as a constituent in Argenta, but an additional guest is not. An additional guest is simply a named guest on a ticket until you choose to promote them.
Through ticket settings you can allow more than one person per ticket sale. This is handy for couples tickets, where two people buy one ticket, or table tickets, where one ticket covers several guests. Allowing more than one person per ticket is what creates additional guests. To get started, check that you have allowed more than one person per ticket.
In the Event Workspace, open the "Ticket Settings" page (under the "Tickets & Sessions" group on the workspace icon bar). This shows every ticket type for the event, and you can set how many individuals are allowed per ticket.
To change the number of individuals per ticket, set the "Total Individuals Per Ticket" field and enter the number allowed. For example, for a couples ticket you would enter 2. This field controls how many guest-name fields the purchaser sees on the public sales form, so entering 2 lets the purchaser enter one additional guest name alongside their own.
Once tickets are purchased on the public sales form, the purchaser and their guests show up in a few places in your Event Workspace:
(Note: if a purchaser is not yet sure who they are bringing, you can tell them to enter something like "Guest" or "A guest of [their name]" in the First Name field on the public sales form. Once they know who they are bringing, you can update the name on the Additional Guests page.)
- Participant/Guest List: once a ticket is purchased, the primary purchaser is added to your Participant/Guest List and is also created as a constituent in Argenta.
- Ticket Sales: an entry is also listed here for the primary purchaser. To change or edit the sale, click the green "Open" icon on that row. This opens the Event Ticket Sales Workspace, where you can edit the record, apply a payment if one was not already made, issue refunds, and attach files or notes.
- Additional Guests: every additional guest added on the public sales form is listed on this page (its header reads "Additional Invited Guests"). Remember, these are not constituents in Argenta. This is where you edit an additional guest, promote them to a constituent on your guest list, or delete them.
On the Additional Guests page, each guest row has three action buttons on the left:
- To change the First Name, Last Name, or Email Address, click into the field and type your change, then click the orange "Save Changes" (disk) button to save.
- To turn the additional guest into a constituent and add them to your guest list, click the green "Create Constituent and Move To Participants/Guests" button. The guest needs a first name, last name, and email address first. The guest is then removed from the Additional Guests page and moved to your Participant/Guest List, and a constituent record is created. If the email already matches an existing constituent, you will be asked to either pick that existing constituent or create a brand-new one.
- To remove an additional guest entirely, click the pink delete button and confirm.
