Mission trip types are created and maintained in the Mission Trip Types section. Mission Trip Types are different than other classification codes, in that they are also used to assign funds and fees to mission trips, grouped by the trip type.
To add a new Mission Trip Type, select Mission Trips > Mission Trip Types - from the main menu on the left side of the screen.
This will bring you into the Mission Trip Types list. Next, click the "Add New" button:
This will bring you into the Mission Trip Type Workspace screen:
The Mission Trip Type Details screen has three tabs: Trip Type Details, Trip Type Default Fees and Record Permissions. We will go over each tab.
Trip Type Details Tab:
The first tab, Trip Type Details, is where you will start. From this tab you need to enter:
- Record Level Permissions - Set As View Only - Placing a checkmark in this box restricts this
record to view only access unless the user is the user who created the record,
the user is a master admin, or the user is given specific permission to modify
this record on the Record Permissions tab of this
record. Permissions also work by assigning a department, district and/or
precinct. If you have users in your system who are restricted by these
permissions, they will only be able to see records in the
departments/districts/precincts you have granted them access to.
- Record Level Permissions - Lock This Record - Placing a checkmark in this box locks this
record so that users cannot view or update the record unless the user is the
user who created the record, the user is a master admin, or the user is given
specific permission to access this record on the Record Permissions tab
of this record. Permissions also work by assigning a department, district
and/or precinct. If you have users in your system who are restricted by these
permissions, they will only be able to see records in the
departments/districts/precincts you have granted them access to.
- Status - Set the status as either Active or Inactive.
- Mission Trip Type - This is where you'll enter a name for the type you're creating.
- Associated Fund - Setting a fund here sets the default fund for all Mission Trips associated to this trip type. Select the default "No Associated Fund" to bypass this functionality.
- GL Unearned Revenue - You can set the GL Account to where your unearned revenue should be posted to.
- GL Earned Revenue - You can set the GL Account to where your earned revenue should be posted to.
This is where you should save all your changes before moving on to the next tab. Click the "Save All Changes & Continue" button to save your changes and then click the "Trip Type Default Fees" tab to add associated fees.
Trip Type Default Fees Tab:
Mission Trips have associated fees. If you have default fees for specific types of mission trips you can set them here at the trip type level and assign them at the mission trip level. To add a default fee, click the "Add A New Trip Type Default Fee" button:

This opens an
Add Default Fee form where you can enter the details for your new fee:

- Active - Checking the active check box makes the fee an active fee that you can use at the mission trip level.
- Fee Type - You need to enter a name for your fee. This is a required field.
- Fee Amount - You can set the fee amount by typing in an amount. This is a required field.
To save a new fee, click the Save button on the Add Default Fee form. To edit an existing fee, change its values in the list and click the save icon on that row.
Record Permissions Tab:
This tab controls the record permissions for this mission trip type. It has two sections: View Only Access and Locked Record Access.
View Only Access:
Sometimes you want users to be able to view a record but block them from modifying it. When this record is set to View Only, only master admins and the users listed here can edit it. To grant a user permission to edit this record, start typing the user's name in the Add User search box, choose the user, then click the Add button. The user then appears in the View Only Access list.
Locked Record Access:
When this record is locked, only master admins and the users listed here can view or edit it. To grant a user access to this record, start typing the user's name in the Add User search box, choose the user, then click the Add button. The user then appears in the Locked Record Access list.
