Using the Contact Log and Follow-Up System in Argenta

Overview

Communication with your supporters and staff is important. That’s why Argenta’s Contact Log and Follow-Up systems are integrated throughout the platform. These tools help you track interactions, schedule future communications, and manage relationships efficiently.

Contact Log

The Contact Log appears in every constituent and affiliated workspace such as customers, donors, and volunteers. It records all communication and interactions with that entity.

  • System-generated emails, such as task notifications or volunteer signup confirmations, are automatically added to the Contact Log.
  • Users can also manually add entries. For example, if you make a phone call to a customer, log it in that customer’s workspace.

Where to View Contact Logs

Once an encounter is logged, you can view it in several places:

  • In the workspace where the contact was added
  • In the associated constituent record
  • In Communication → My Contact Log, where you can see every contact entry you’ve created

Working with the Contact Log

The My Contact Log section displays a list of all your contact entries, starting with the most recent. You can:

  • Sort the list in any order
  • Search for an entry by contact name
  • Filter by contact type or contact date range

Each list item includes:

  • The constituent’s name (linked to their record)
  • The date and time of contact
  • The contact type (e.g., members, donors, volunteers)

Actions available in the list:

  • Delete: Click the delete icon to remove a contact log entry.
  • Edit: Click the edit icon to view or modify the contact date, time, content, or team member who made contact.

Note: You can only see your own contact log items in the My Contact Log section.


Follow-Up Integration

The Follow-Up system works similarly to the Contact Log and is also integrated throughout constituent and affiliated workspaces. It helps you track and schedule future communications with constituents.

Adding a Follow-Up

  1. Click Add New in the Follow-Up tab.
  2. You’ll be redirected to the Add Follow-Up screen.
  3. Your name will automatically appear in the Team Member dropdown.
  4. Enter a reason for the follow-up (for example, “Follow up about our event”).
  5. If the follow-up has already been completed, enter an outcome (e.g., “Jane attended our event”).
  6. Set the date and time for the follow-up. This can be in the past or future.
  7. To receive a reminder, enter a notification date and time. Argenta will automatically send an email reminder.
  8. If someone else should receive the reminder, enter their email address.
  9. Click Save. The system will return you to the screen you started from (for example, the customer workspace or the follow-up list).

Viewing Follow-Ups

In the constituent’s workspace, you’ll see every follow-up related to that constituent—whether you entered it or another team member did.

To view all follow-ups you’ve created, go to Communication → My Follow-Up.

Working with the Follow-Up List

The Follow-Up List displays all your follow-ups, with the most recent at the top. You can:

  • Sort or search the list
  • Export to Excel
  • Filter by follow-up type, follow-up date range, or notification date range

Each list item includes:

  • The constituent’s name (linked to their workspace)
  • The follow-up date and time
  • The notification date and time (if applicable)
  • The follow-up type
  • The reason for the follow-up

Actions available in the list:

  • Delete: Click the delete icon to remove a follow-up entry.
  • Edit: Click the open icon to view or update follow-up details.
