Argenta is designed to easily synchronize your Mailchimp Lists and Subscribers. Before you can start syncing, you must enter your Mailchimp API Key into the Argenta system. See our KB Article, Mailchimp Integration for help completing that step.


Making Changes to Mailchimp in Argenta

Using Mailchimp in Argenta happens in our Mail Room. After you build email lists you can...

  • See whether members of your Argenta Email List are subscribed to a selected Mail Chimp list.
  • Change their subscription status as it relates to that list.
  • Add new list members and subscribe them to Mailchimp lists.
  • Remove list members.

Creating Mailchimp Lists in Argenta

Creating a Mailchimp list in Argenta (vs. in Mailchimp) immediately synchronizes the list for use in the mail room. Once you’ve added your Mailchimp API Key, you'll see a new tab: My Mailchimp Lists.

 

When you select the My Mailchimp Lists tab, you'll see any Mailchimp list that's currently synchronized with Argenta. To create a new Mailchimp list, click the “Create A New Mailchimp List” button.

 

 

A window will pop-up asking for a Mailchimp List Title. Type a title for your list in the box and click the "Add This Mailchimp List" button. The window will close and you'll see your new list in the grid. If you open your Mailchimp Account you would also see the new list there.

 

Add Subscribers To A Mailchimp List

  • Select the My Email Lists tab.
  • Choose an Argenta Email List with members you would like to subscribe to the Mailchimp List.
  • A second drop down list will be displayed. Choose the Mailchimp List you would like to add subscribers to.
  • The page will post back (which may take a few seconds). You will see items in the list for the MailChimp List.
 
Subscribe/Unsubscribe constituents to a Mailchimp List with Argenta
 

You can subscribe or unsubscribe a constituent to a Mailchimp list within Argenta. To do this, click the My Email Lists tab in the Argenta Mail Room. Choose the email list containing the constituent from the drop-down list above the page. A list of constituents with their email addresses will appear. A new drop-down list will appear beneath the first. Select the Mailchimp List you are working with. You should now see a button (with one of three states) to the right of each email address.

 
- Constituent is currently unsubscribed.
- Mailchimp has an issue with the constituent's email address. It may be invalid.
- Constituent is currently subscribed.
 
 

Subscribe

 

To subscribe a constituent to the current Mailchimp list, click the "Subscribe" button. If the email is valid, the button will change to "Unsubscribe" in a moment. You should find this constituent now subscribed to that list in your Mailchimp account. If there was a problem with the email, the button will be disabled and change to "Invalid Email."

 

To subscribe all constituents to the current Mailchimp list, click the icon in the header of the list. In a few moments, all buttons for constituents will change to "Invalid Email" (if the email has issues) or "Unsubscribe" (if the constituent has been subscribed to the list). This could take some time, depending on the length of the list. All valid constituent emails should now be added as subscribed to the chosen Mailchimp list.

 

 

 

 

Unsubscribe

 

To unsubscribe a constituent from the current Mailchimp list, click the "Unsubscribe" button to the right. In a few moments, the button will change to "Subscribe". You should find this constituent now designated as unsubscribed for that list in your Mailchimp account.

 

To unsubscribe all constituents from the current Mailchimp list, click the icon in the header of the list. In a few moments, all buttons for constituents will change to "Subscribe". This could take some time, depending on the length of the list. All constituents should now be unsubscribed from the chosen Mailchimp list.

 

Clicking the to the right of a constituent will delete them from the Argenta email list, but will not delete or unsubscribe them from the Mailchimp list. If you need to have the constituent unsubscribed from a list and also want them deleted from the Argenta email list, you must first unsubscribe them from the Mailchimp list.

 

Synchronizing Pre-existing Mailchimp Lists with Argenta

 

If you have a Mailchimp list that doesn’t appear in the Argenta list, it was likely created directly in your Mailchimp account. Mailchimp does not, at this time, provide for automatic syncing of their lists with another system. You can, however, sync Argenta with all lists currently in your Mailchimp account.

 

 

 

To do this, click the “Sync Mailchimp Lists” button at the top of the page in the My Mailchimp Lists tab. In a few moments, all Mailchimp lists should appear. However, the list will not be populated with subscribers in Argenta.

 

To sync the Mailchimp subscribers with the Argenta Mailchimp list, click the round arrow icon in the Mailchimp list. Depending on the number of subscribers, synchronizing the list may take some time.

 

Deleting a Mailchimp List within Argenta

If you would like to delete a Mailchimp list inside Argenta, click the My Mailchimp Lists tab. Find the list you want to delete and click the button to the right of the list. Within moments the list will disappear from the list. Be Careful! This will not only delete the list from Argenta, but your Mailchimp account as well as all subscribers in the list!

 

Change Mailchimp API Key

 

If, at any time, you believe your Mailchimp API Key has been compromised, you can create a new one in your Mailchimp account. (for help see KB Article, Getting Mailchimp API Information)

 

 

To use the new key, click the “Update Mailchimp API” button above the list in the My Mailchimp Lists tab. Enter the new key in the window that opens and click “Update Mailchimp Account Information”. You can then delete the old key in your Mailchimp account.

 

 

Changes Made Through Mailchimp

 

Mailchimp was created to help manage email campaigns while complying with all federal laws. Argenta’s Mailchimp integration was built to help manage this process. There are four actions that can be made to a Mailchimp list that are automatically managed in the Argenta System. Each of these actions could be initiated either by a user of the Mailchimp account or a potential subscriber.

 

 

Subscribe

 

When a person or organization is subscribed to a Mailchimp account, a notification is sent to Argenta. If the subscriber is not a constituent in the Argenta system, nothing happens. The reason for this is that the information provided to Mailchimp is limited. Because of this we chose not to add them as a constituent to your account at this time. If they are a constituent in Argenta, they are added as a subscriber to that Mailchimp list in Argenta. You should see this reflected in the Mail Room when choosing an Argenta email list and the designated Mailchimp list. They are also designated in the system as Email OK. If the constituent is in the Argenta Leads system, they will be given a status/final outcome of “New”.

 

 

Unsubscribe

 

When a person or organization is unsubscribed from a Mailchimp account, a notification is sent to Argenta. If the subscriber is not a constituent in the Argenta system, nothing happens. If they are a constituent in Argenta, they are designated as unsubscribed from that Mailchimp list in Argenta. You should see this reflected in the Mail Room when choosing an Argenta email list and the designated Mailchimp list. They are also designated in the system as Email Not OK. If the constituent is in the Argenta Leads system, they will be given a status/final outcome of “DO NOT CONTACT”.

 

 

Change of Email Address

 

When a Mailchimp list subscriber submits a change of email address to Mailchimp, a notification is sent to Argenta. If there is no secondary email address for that constituent in Argenta, the primary email address is moved to the secondary email and the new email address is added as the primary. If there is already a secondary email address, the primary email address is replaced by the email address sent from Mailchimp.

 

 

Cleaned Subscriber/Email Address

 

In the event a Mailchimp subscriber is taken out of a Mailchimp list (through their actions or a Mailchimp user), the action is handled in the same way in Argenta as if they were unsubscribed.
